Cycling studio: class booking by members.

Context.
A group fitness studio sells places on a schedule of fixed-capacity classes. Every unsold place is lost for good, and every manually handled booking consumes instructor time that would be worth more elsewhere.
Handling bookings by messaging created an additional reliability problem: double bookings, places believed free that were not, and no consolidated view of actual occupancy per time slot.
Delivered scope.
- 01Class schedule with capacity per time slot
- 02Self-service booking by members, with controlled cancellation
- 03Place management and prevention of double bookings
- 04Visibility of occupancy per slot and per class
The system was designed around a simple rule: displayed availability is always real availability. That means handling correctly the contention between two simultaneous bookings for the last place — the edge case that is precisely the one that destroys trust in a booking tool. Cancellation rules were built into the system rather than left to judgement, to remove case-by-case negotiation.
What it changed.
Bookings made independently, with no involvement from instructors
Double bookings and place disputes eliminated
A measure of real occupancy, usable to adjust the schedule
Some information is deliberately omitted at the client's request.
